1. Introduction

NeuriX LLC ("NeuriX," "we," "our," or "us") is committed to protecting the privacy and security of information entrusted to us. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you visit our website or use our AI-powered healthcare software products and services.

NeuriX LLC is the data controller for information collected through our website and corporate operations. Our principal place of business is 7901 4th St N, Ste 300, St. Petersburg, FL 33702. This policy applies to all visitors, customers, and users of NeuriX products and services. By using our Services, you consent to the practices described in this Privacy Policy.

2. Information We Collect

We collect the following categories of information:

  • Contact & Identity Information: Name, job title, organization name, email address, phone number, and mailing address provided when you contact us, request a demo, or register an account.
  • Account & Usage Data: Login credentials, feature usage patterns, session duration, user preferences, and settings within our platform.
  • Technical Data: IP address, browser type and version, device type, operating system, referral URLs, and other diagnostic data collected automatically through our infrastructure.
  • Communications Data: Records of correspondence when you contact our support or sales teams, including emails, support tickets, and call notes.
  • Protected Health Information (PHI): When processing PHI on behalf of covered entities as a business associate, such processing is governed by a signed HIPAA Business Associate Agreement (BAA) and applicable law.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Delivering, maintaining, and improving our AI software products and services
  • Processing transactions, generating invoices, and managing accounts
  • Responding to inquiries, providing customer support, and communicating service updates
  • Conducting analytics to understand usage trends and optimize platform performance
  • Ensuring the security and integrity of our systems and detecting fraudulent activity
  • Complying with legal obligations, including regulatory requirements applicable to the healthcare sector
  • Sending product and company updates to users who have opted in to such communications

NeuriX does not sell personal information to third parties. We do not use PHI processed on behalf of clients for any purpose other than those specified in the applicable BAA.

4. HIPAA Compliance

NeuriX operates as a Business Associate under the Health Insurance Portability and Accountability Act of 1996 (HIPAA) when providing services to covered entities and other business associates that involve access to protected health information. Prior to any engagement involving PHI, NeuriX enters into a written Business Associate Agreement (BAA) with the covered entity.

We implement administrative, physical, and technical safeguards as required under the HIPAA Security Rule, including access controls, audit logging, data encryption in transit and at rest, and workforce training. PHI is never used, disclosed, or retained beyond what is permitted under the applicable BAA and HIPAA regulations.

5. Data Sharing & Third Parties

NeuriX may share information with carefully vetted third-party vendors and service providers who assist in delivering our Services — such as cloud infrastructure providers, analytics platforms, and customer relationship management tools. All such third parties are bound by confidentiality obligations and, where applicable, data processing agreements.

We may also disclose information when required by law, court order, or governmental authority, or when we believe disclosure is necessary to protect the rights, property, or safety of NeuriX, our clients, or others. We do not otherwise share, sell, rent, or trade personal information to third parties for their own marketing purposes.

6. Data Retention

We retain personal information for as long as necessary to fulfill the purposes for which it was collected, satisfy legal and regulatory obligations, resolve disputes, and enforce our agreements. Account data is typically retained for the duration of the active relationship plus a minimum of five years following termination, unless a longer period is required by law or contract.

PHI processed under a BAA is retained only as permitted or required under that agreement and HIPAA regulations. Upon contract termination, PHI is returned or securely destroyed in accordance with the BAA terms.

7. Data Security

NeuriX employs industry-leading technical and organizational security measures to protect information against unauthorized access, disclosure, alteration, and destruction. These measures include:

  • AES-256 encryption for data at rest and TLS 1.2+ for data in transit
  • Role-based access controls with multi-factor authentication enforcement
  • Continuous system monitoring, intrusion detection, and automated alerting
  • Regular penetration testing and third-party security audits
  • Documented incident response and breach notification procedures
  • Employee security awareness training conducted no less than annually

While we take every reasonable precaution, no system is completely immune from risk. We encourage users to maintain strong, unique passwords and to report any suspected security incidents to us immediately.
